Privacy Policy – Planno Fitness

Planno Fitness (“we”, “us”, or “the app”) is a personal training and workout application that connects you with a coach and a personalised training plan, including exercise videos. This Privacy Policy explains how we collect, use, share and protect your personal data when you use the Planno Fitness mobile application and related services.

1. Data we collect

1.1 Account and profile data

• Email address – required to create and sign in to your account.
• Display name – if you choose to provide one.
• Account identifier – a unique internal identifier linked to your account (for example from our authentication provider).
• Trainer / coach link – the identity of the trainer you are connected to.

1.2 Onboarding and preferences

• Fitness level (for example: beginner, intermediate, advanced).
• Training goals (for example: weight loss, muscle gain, endurance).
• Workout and training preferences (such as frequency, focus areas or similar options you choose in the app).
• Language preference.

1.3 Training and content data (current functionality)

• Your trainer’s training plans and workouts, including exercise names, descriptions, prescribed sets and repetitions, and links to exercise videos.
• At the time of writing, the app does not store your personal workout performance history (such as what you actually completed).

1.4 Training and health-related data (possible future features)

• Workout tracking data (for example sets, repetitions, weights, completion status).
• Progress information (such as body weight or similar metrics that you choose to enter).
• Notes or comments related to your training.

If and when such features are introduced, this data will only be processed to provide the functionality inside the app and will not be used for advertising. Additional in-app notices may be shown at the time the feature becomes available.

1.5 Technical and usage data

• Crash reports and diagnostics.
• Basic usage and interaction information (for example which screens are viewed or which features are used).
• Device and app information such as device model, operating system version and app version.

1.6 Communications and support

• Information you provide when you contact us for support, feedback or bug reports.

2. How we use your data

• To create and manage your account and allow you to sign in securely.
• To link you with your trainer and display your personalised training plan and content.
• To personalise your experience (for example language, preferences and goals).
• To provide customer support and respond to your requests.
• To operate, maintain and improve the app, including fixing bugs and improving performance.
• To develop new features and functionality.
• To comply with legal obligations and protect the rights, safety and integrity of our users and our services.

3. Legal basis (where applicable)

• Contract – processing necessary to provide the app and its core functionality.
• Legitimate interests – improving the app, ensuring security and preventing misuse.
• Consent – where required (for example for optional or future features or certain analytics settings).

4. Third parties and sharing

4.1 Google / Firebase

We use Google Firebase services, including:

• Authentication
• Cloud Firestore (database)
• Crashlytics
• Analytics
• App Check

4.2 YouTube

Exercise videos may be provided through YouTube embeds or links. When you watch a video, YouTube may collect data in accordance with its own policies.

4.3 Trainers / coaches

Your assigned trainer can access the information required to provide and manage your training plan. If workout tracking or progress features are introduced in the future, your trainer may also be able to view the relevant progress information for coaching purposes.

4.4 Other service providers

We may use additional technical service providers (for example hosting, monitoring or customer support tools). They process personal data only on our instructions and under appropriate contractual safeguards.

4.5 Legal and safety reasons

We may disclose information where required by law, court order, or where necessary to protect our rights, users or systems.

We do not sell your personal data and we do not use your personal data for third-party advertising.

5. Data retention

• Account and profile data are kept while your account is active.
• When you delete your account, your personal data is deleted or anonymised within a reasonable technical period unless retention is required by law.
• Crash and diagnostic data are retained for a limited period and are generally aggregated.
• Future workout and progress data (if introduced) will be retained while your account remains active, unless you delete it.

6. Your rights

Depending on your location and applicable law, you may have the right to:

• Access your personal data.
• Correct inaccurate or incomplete data.
• Request deletion of your personal data.
• Object to or restrict certain processing.
• Request data portability.
• Withdraw consent where processing is based on consent.

You can delete your account from within the app settings. You may also contact us using the details below to exercise your rights.

You also have the right to lodge a complaint with your local data protection authority.

7. Security

We apply technical and organisational measures designed to protect your data, including encrypted connections and access controls. However, no system can be guaranteed to be completely secure.

8. Children

Planno Fitness is not intended for children under the age of 13 (or a higher minimum age where required by local law). We do not knowingly collect personal data from children.

9. International data transfers

Your data may be processed in countries other than your own, including by our service providers. Where required, we rely on appropriate safeguards such as standard contractual clauses or adequacy decisions.

10. Push notifications and communications

We may send you service-related notifications (for example about your training plan, account status or important updates). You can control certain notification settings through your device or the app where available.

11. Automated decision-making

We do not use your personal data to make automated decisions that produce legal or similarly significant effects about you. Any personalisation in the app (such as recommended plans or content) is based on simple profile and preference information.

12. California privacy rights (if applicable)

If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CPRA/CCPA), including the right to know, delete and correct personal information. We do not sell or share personal information for cross-context behavioural advertising.

13. Changes to this policy

We may update this Privacy Policy from time to time. The updated version will be published in the app or on our website with a new “Last updated” date. For material changes, we may notify you through the app or by email.
